How to Use Academic Coaching
The Student Academic Coaching Portal is a secure space for eligible DOXA students to work with their assigned Academic Coach. Use your own approved account and keep your login information private.
Before Your Appointment
- Review your current courses, deadlines, and academic goals.
- Identify the issue or decision for which you need support.
- Book only an available time shown for your assigned Academic Coach.
- Prepare relevant questions without sending sensitive information through ordinary email.
During and After Your Appointment
- Arrive on time and use the approved meeting method.
- Participate honestly and respectfully.
- Review shared notes, tasks, and follow-up dates in the portal.
- Submit one response to a shared note when clarification or context is needed.
- Request corrections through the authorized process; do not create duplicate accounts.
Appointments
Appointments are 30 minutes with a 15-minute protected buffer. Standard booking requires 24 hours’ notice and is available up to 30 days in advance. Inside 24 hours, cancellation or rescheduling requires a reasoned request and approval. Same-day appointments appear only when an authorized person deliberately opens a specific slot.
Privacy and Appropriate Use
You can access only your own permitted information. You cannot view another student’s records, private staff notes, internal reports, or another coach’s calendar. Do not use the portal for emergencies. Immediate-danger situations require the approved DOXA emergency procedure and appropriate public emergency services.
Frequently Asked Questions
Is Academic Coaching the same as instruction?
No. Academic Coaching supports planning, progress, study strategies, goals, accountability, and referrals. Course instruction and academic evaluation remain with authorized faculty.
Can I choose any coach?
Normally, you see availability only for your assigned Academic Coach. If no workable time is available, use the scheduling-assistance process.
Can I book for today?
Only if an authorized person has intentionally opened a specific same-day slot.
What if I miss an appointment?
The appointment is recorded as a no-show, the coach follows up, and you may be invited to reschedule. Two no-shows within 90 days create a supervisory-review flag but do not automatically change enrollment.
Who can read my information?
Only authorized personnel with a legitimate institutional role and the access needed for their duties. External email notices contain limited operational information and direct you back to the secure portal.
Can I correct information?
Yes. Use the correction-request process. Official identity changes require authorized review, and prior values and decisions may remain in the audit history.
Where do I find official program, tuition, refund, and complaint information?
Use DOXA’s current catalog and official institutional channels. This support guide does not replace required enrollment disclosures.
